Getting Started

QWhat is Expenses and where do I start?

Expenses is a personal finance app for iPhone, iPad, and Mac. It lets you track income and expenses across multiple sheets, with optional iCloud sync to keep your data updated across all your devices.

When you open the app for the first time you land on the Home screen. Tap the + button to create your first sheet and start logging entries.

QHow do I create my first expense sheet?

On the Home screen tap the + (Create Sheet) button. Enter a name (e.g. "March Budget" or "Tokyo Trip"), choose a base currency, set an optional start date, and tap Create.

You can create unlimited sheets — use them to separate different budgets, trips, projects, or time periods.
QHow do I add an expense or income entry?

Open any sheet and tap + Add Entry. Fill in:

  • Amount — supports math expressions like 12.5 + 8
  • Type — Expense or Income
  • Category — choose from the list or create a new one
  • Note — optional description
  • Date — defaults to today
  • Currency — override the sheet currency per-entry if needed

Tap Save to record the entry.

Sheets

QCan I create multiple sheets?

Yes — there is no limit. Create as many sheets as you need. Common uses include a sheet per month, one per trip, one per project, or one per person you split expenses with.

On the Home screen all your sheets appear as cards. Use Pinned to keep the most important ones at the top.

QHow do I pin a sheet to the top of the Home screen?

Swipe left on a sheet card on the Home screen and tap Pin. Pinned sheets move to a dedicated "Pinned" section at the very top of the list.

To unpin, swipe left again and tap Unpin.

QHow do I rename or delete a sheet?

Swipe left on the sheet card on the Home screen to reveal Edit and Delete actions. You can also long-press or use the ⋯ menu inside the sheet to rename it.

Deleted sheets go to Settings → Trash where they can be restored or permanently deleted.

QCan I recover a deleted sheet?

Yes. Deleted sheets are moved to Settings → Trash. From there you can Restore a sheet to bring it back, or permanently delete it to free up space.

The Trash only applies to sheets, not to individual entries. Deleted entries cannot be recovered.
QHow do I change the order sheets appear on the Home screen?

Go to Settings → Sort Sheets and choose one of:

  • Date Created (newest first)
  • Date Edited (recently modified first)
  • Name A → Z
  • Name Z → A
QHow do I search for a sheet?

On the Home screen use the search bar at the top to filter sheets by name in real time.

Entries

QHow do I edit an entry?

Inside a sheet, swipe left on an entry row and tap Edit. You can also tap on the entry to open its detail view, then tap Edit.

QHow do I delete an entry? Can I recover it?

Swipe left on an entry row and tap Delete.

Deleted entries cannot be recovered. The Trash feature only applies to sheets. Please double-check before deleting an entry.
QCan I move an entry to a different sheet?

Yes. Open the entry for editing, tap the Sheet field, and select a different sheet from the picker. Save — the entry moves to the chosen sheet.

QHow do I filter entries by time period?

At the top of every sheet there is a period selector. Tap it to choose This Week, This Month, Last Month, This Year, or All Time. The entry list and balance card update instantly.

QHow do I search entries inside a sheet?

Inside a sheet, pull down the entry list to reveal the search bar. Type any keyword to filter entries by note, category, or amount in real time.

QCan I create custom categories?

Yes. Go to Settings → Manage Categories and tap +. Give the category a name and choose an emoji icon. You can reorder or delete categories from the same screen.

QWhat are Pending entries?

Pending entries are transactions you have added with a future date that have not yet been confirmed. They appear in the Pending list (accessible from inside a sheet) and do not count towards the current balance until you mark them as paid or received.

Currency

QCan I use multiple currencies in one sheet?

Yes. Each sheet has a base currency, but every individual entry can use a different currency. When adding or editing an entry tap the currency field and choose any currency from the list.

The sheet automatically shows each entry's original amount alongside a converted amount in the base currency, using the exchange rate you configure.

QHow do I set the exchange rate for a sheet?

Inside a sheet open the ⋯ menu → Exchange Rate. Enter the conversion rate between the entry currency and the sheet's base currency. You can update it at any time and all converted amounts will recalculate.

The exchange rate is stored per-sheet, not globally, so each sheet can have its own rate.
QHow do I change my default currency for new sheets?

Go to Settings → Preferred Currency and search for or scroll to your currency. The selection becomes the default for every new sheet you create.

This does not retroactively change the currency of existing sheets — edit each sheet individually if needed.

iCloud Sync

QHow do I enable iCloud Sync?

Go to Settings → iCloud Sync and toggle it on. Your sheets and entries will automatically sync across every device signed in to the same Apple ID.

Make sure iCloud Drive is enabled on your device under iOS Settings → [Your Name] → iCloud → iCloud Drive.
QWhere is my data stored when iCloud Sync is on?

Your data is synced via Apple's CloudKit framework and stored in your personal iCloud account. We do not operate any servers — we never see your financial data. Apple's iCloud privacy policy governs the storage.

QMy data isn't syncing across devices — what should I do?

Try the following in order:

  • Check your internet connection on both devices.
  • Confirm iCloud Drive is enabled in iOS Settings on both devices.
  • Make sure both devices are signed in to the same Apple ID.
  • Toggle iCloud Sync off and back on in Expenses Settings.
  • Force-quit and reopen the app.
  • Restart the device.

iCloud sync is managed entirely by Apple's CloudKit infrastructure. Occasional delays during high iCloud server load are normal and usually resolve within a few minutes.

QWhat happens if I turn iCloud Sync off?

Your data stays on your device. Turning sync off simply stops new changes from being pushed to or pulled from iCloud — it does not delete any existing data locally or from iCloud.

Sharing & Collaboration

QCan I share a sheet with someone else?

Yes. Open a sheet and tap the people icon in the top bar. You can invite others via iCloud sharing — they receive a link to join the sheet. Once they accept, all participants see updates in real time.

You control whether invited people can only view or also edit the sheet.

iCloud Sync must be enabled on all participants' devices for shared sheets to work.
QHow do I stop sharing a sheet or remove a collaborator?

Tap the people icon on the sheet to open the sharing panel. From there you can remove individual participants or stop sharing the sheet entirely. Removed participants immediately lose access.

QCan I share data with someone who doesn't use the app?

Yes — use Export. Open a sheet, tap the ⋯ menu → Export, and choose PDF or CSV. Then use the system share sheet to send via email, AirDrop, Messages, and so on. The recipient does not need the Expenses app.

Recurring & Upcoming

QHow do recurring entries work?

When adding an entry, toggle Repeat and set a frequency — Daily, Weekly, Monthly, or Yearly. You can also set an end condition: never, after a certain number of occurrences, or on a specific date.

The app automatically schedules the next occurrence when the current date arrives, so recurring bills, subscriptions, or salary entries are always tracked without manual input.

QWhat is the Upcoming list?

The Upcoming list shows all recurring entries scheduled for future dates, grouped by date. Access it from inside a sheet to see what is coming up — rent due next week, a subscription renewing next month, and so on.

QHow do I cancel a recurring entry?

Open the recurring entry for editing and either turn off the Repeat toggle to stop future recurrences, or delete the entry entirely. When deleting you will be asked whether to delete only this occurrence or all future occurrences.

Export & Import

QHow do I export a sheet?

Open a sheet and tap ⋯ menu → Export. Choose a format:

  • PDF — a formatted, printable report with a cover page, balance summary, and entries grouped by date.
  • CSV — a spreadsheet-compatible file with one row per entry, ideal for Excel or Google Sheets.

After selecting the format the system share sheet opens so you can save to Files, send via email, AirDrop, and more.

QCan I export all my sheets at once?

Yes. Go to Settings → Export to export all sheets together. You can choose PDF or CSV format for the bulk export.

QHow do I import data into the app?

Go to Settings → Import and select a .csv file. The app reads the file and creates entries from it into the selected sheet.

Only .csv files are supported for import. Make sure your CSV uses the same column format that Expenses exports.
QWhat does the PDF export look like?

The PDF starts with a cover page showing the sheet name, date range, and balance summary. Following pages list all entries grouped by date, with columns for category, note, and amount — ready to share or print.

Privacy & Security

QWhat is Sensitive Mode?

Sensitive Mode replaces every monetary amount across the app with a blurred capsule, so no one nearby can read your balances. Toggle it on or off from Settings → Sensitive Mode.

It covers all screens: Home sheet balances, sheet detail balances, individual entry amounts, stats totals, and upcoming/pending amounts.

QIs my financial data sent to any server?

No. All your data is stored locally on your device. If iCloud Sync is enabled, data is stored in your personal iCloud account via Apple's CloudKit — we never have access to it. We do not operate any third-party servers that store your financial information.

QDoes the app track me or use analytics?

No. Expenses does not integrate any third-party analytics SDKs, advertising networks, or tracking frameworks. The only external services used are Apple's own frameworks: CloudKit, StoreKit, and LocalAuthentication.

Settings & General

QHow do I view my spending stats and breakdown?

Open any sheet and tap the chart icon in the top bar. You will see a donut chart with a category breakdown, total income, total expense, and per-category amounts. Tap any category to drill into its individual entries.

QWhat are Trends?

Trends shows your income and expenses plotted as a line chart over time. Access it via ⋯ menu → Trends inside a sheet. Use it to spot patterns such as big spending months, seasonal variation, or income changes.

QDoes Expenses support Dark Mode?

Dark Mode is not available in the current version of Expenses. The app uses a light theme. Dark Mode support is planned for a future update.

QIs there a Mac version?

Yes. Expenses is a universal app available on iPhone, iPad, and Mac. The Mac version is built with Mac Catalyst and shares the same iCloud data as your iOS devices when sync is enabled.

QHow do I report a bug or send feedback?

Tap Settings → Send Feedback to open a pre-filled email with your device and app version details. Describe the issue and send — we read every message.

QHow do I rate the app?

Go to Settings → Rate the App. This opens the native App Store rating prompt directly inside the app — no need to leave Expenses.

QHow do I get the latest version?

Updates are delivered through the App Store. Enable automatic updates under iOS Settings → App Store → App Updates to always stay current, or check manually in the App Store Updates tab.
